Automate a process with AI

Act as an AI process automation consultant. I want to stop doing a repetitive task by hand and need a realistic plan to automate it. Context: - Current process: [step by step, from what triggers it to the final result] - Volume and time: [for example 20 times a day, 10 minutes each] - Tools I already use: [for example Gmail, Google Sheets, WhatsApp or a CRM] - Budget and technical level: [for example low budget and no developers] Task: 1. Before automating, point out which steps can be simplified or removed. 2. Map the resulting process in a table: step, input, output and who should do it (automatic rule, AI or person). Use AI only where it's needed to interpret text, classify or write; for everything else, simple rules are enough, and they're cheaper and more predictable. 3. Design the simplest solution that works: specific tools (for example Zapier, Make, n8n or an AI agent), trigger, step-by-step flow and what instruction the AI receives at each point. 4. Define the controls: what a person reviews before anything reaches a customer, how errors are detected and what happens when something fails. 5. Estimate hours saved per month, approximate monthly cost and implementation time. 6. Propose a phased plan that starts with a one-week pilot and explain how to measure whether it worked. Rules: - Prioritize what saves the most time with the least risk. - If the process handles personal or sensitive data, point out what to protect. - Tool prices and features change often: flag what I should double-check. - If any detail is missing, make the most reasonable assumption and state it at the start.
